This guide, will walk you through the steps to integrate your Google Calendar with Gallabox using Zapier. Make sure to include the attendee's phone number in the event on your calendar, preferably in the description.
Follow the below steps to connect your Goggle Calendar with Gallabox.
In your Zapier dashboard, choose Zaps from the left navigation. Click on Create button on the right side of the window. Select New Zap from the dropdown.
You have two options to create a Zap, either using the Zapier Copilot or by adding Trigger & action manually.
If you are using Zapier Copilot, then type - When someone creates an event on my Google Calendar, a WhatsApp Message should be sent to the one who created an event via Gallabox
. The Copilot will take care of the Trigger Application and Action application.
Complete filling out your step "1: New Event" to set up the Trigger. Choose the Calendar you would like to use for the workflow. Test the Trigger to get the event description.
Make sure you have a test event created in your Calendar.
To capture and extract the phone number from the description, use the built-in tool called Formatter. Select Text for the event, and for the action, choose Extract Phone Number. Set the input value to the description and use the Universal 2 format for the phone number.
It is time to set the action to send a WhatsApp template message to the event creator on your calendar. Choose one of the event from the dropdown.
Choose the Gallabox account. If you haven't added any accounts, here is the guide. For the action, enter the recipient's name, phone number, and WhatsApp template you would like to send to your customers. Add the values for the variables, payloads for buttons, media name, and media URL. Once you have set everything, test if you are receiving the WhatsApp message template.
You can publish the Zap once the Action and Triggers are configured successfully.
Now your automated process is ready to use. With everything set up, you can send WhatsApp messages to your customers with ease.
